3 Ways to Use the Past Client and Closed Stages

Although closing a lead should be a last-ditch option, sometimes it’s best to say goodbye. Follow Up Boss has helpful stages to note past clients and other closed opportunities, but there are other ways to make use of these designations.

Let’s take a look at how to make the most of the Past Client and Closed stages on FUB:

Repurposing Past Client and Closed Stages

Scenario 1: They weren’t your favorite

Not every client makes a good impression. Whether they were a nightmare to work with or simply not a great fit for your business, you can use the Closed stage to mark past clients while keeping a record of your relationship with them. That way, they won’t show up in your smart lists for continual follow-up or receive any automated drip.

For past clients you do want to stay in touch with — whether through automation, action plan or smart list — you can use the Past Client stage for its intended purpose.

Scenario 2: You worked together this year

Say you worked with a client this year, and you don’t want to spam them with communiqués. You can mark the client Closed until the end of the year, then move them to the Past Client stage. Follow-ups will still be effective with time and distance — it’s always a good idea, for instance, to check in after a sale or closing on a home. You can then begin spacing out your contacts to once per quarter.

To keep track, you can create two smart lists:

  • One with the Closed stage and last communication more than 30 days ago

  • One with the Past Client stage and last communication more than 90 days ago

Scenario 3: You want to keep it simple

For larger databases, it can be a hassle to divide leads into closed and past clients. In this case, the Closed stage is a solid catch-all. You can use it to keep in consistent touch with all of your leads regardless of when they were closed, making sure your relationships never go stale.
